Pipeline & deadlines
The pipeline is where saved grants live. It is also the system of record for what stage every active application is in and when each one is due.
How a grant gets into the pipeline
Three ways:
- Save to pipeline from the search results page (the green button on each card).
- Save to pipeline from the grant detail drawer (the right-side panel that opens when you click a grant).
- Add manually using “Add custom grant” on the pipeline page, for opportunities not in the GrantMind index yet.
Stages
Every saved grant has a stage:
- Discovered: saved but not yet evaluated.
- In Review: actively evaluating fit, reading the Notice of Funding Opportunity (NOFO).
- In Draft: writing the application or Letter of Inquiry (LOI).
- Submitted: application is in.
- Won: award received.
- Lost: declined. Capture the reason so the matcher learns.
Move a grant by clicking the stage badge on the pipeline row. The analytics on your dashboard recompute from the stages, so keeping them current matters for the win-rate and pipeline-value numbers.
Deadlines and reminders
Every grant with a deadline gets an automatic reminder schedule: 30 days out, 14 days out, 7 days out, and 1 day out, sent to the email on file. Turn the reminders off per-grant from the grant detail drawer if you don't need them.
The Calendar view (left nav, “Calendar”) shows every upcoming deadline in a month view, color-coded by stage. Particularly useful at the start of each week to plan drafting time.
Notes, tasks, and team assignment
Each pipeline row opens to a detail panel with:
- Notes: free-text field. Save program officer conversations, internal decisions, and partner commitments here.
- Tasks: a small checklist with optional due dates. Good for tracking attachments to gather, board approvals needed, etc.
- Assigned writer (agency plan only): set who on the team owns this application.
Tracking outcomes
When you mark a grant as Won or Lost, you'll be prompted for the award amount (Won) or the decline reason (Lost). These feed the reports page and, in the case of Lost reasons, also feed the matcher so it learns which kinds of grants you're less likely to win.

Removing a grant from the pipeline
The “Archive” action on each pipeline row hides the grant from the active list without deleting the history. Use this when you've decided not to apply but want to keep the decision visible in reports.
